Description:
We are currently recruiting a management support administrator to provide professional administrative. As a member of a multi-functional team the post-holder would also provide support to the wider team and faculty as required.
We are looking for a candidate with experience of administrative systems and procedures.

Main Duties

Deal with enquiries within allocated work area in person, by telephone or email, for both internal/external clients.

Provide administrative support as appropriate/required within the allocated work area in respect of operational financial administration including monitoring of income and expenditure, administration of procurement and billing activities and budget tracking needed to maintain effective contract and purchasing control, and reporting requirements.

As required provide administrative support in respect of recruitment of staff, research activity, professional and recruitment related events, the preparation and development of course materials.

Book and administer arrangements for business related travel both in the UK and overseas.

Devise, implement and maintain agreed administrative processes and systems required to ensure effective day-to-day delivery of work.

Undertake background research to produce a summary of the information and prepare reports, data and other information as required, assisting with the collation, analysis, evaluation and presentation of management information.

Develop marketing material, including prezzi and PowerPoint presentations, brochures, flyers, web-material etc.

Organises induction events on behalf of the Schools and assists in the coordination of staff induction and staff development activities.

Administer and contribute to the organisation of events, conferences, seminars, staff away days and formal meetings relating to identified activities (e.g. servicing of Committees and meetings, Minute taking, generating documentation, providing a meet and greet service and arranging hospitality).

Manage the diaries and associated arrangements for members of the allocated work area as required and appropriate.

Manage shared and group email boxes for the allocated work area as required and appropriate.

Word process various documents, including presentations, papers and reports. Undertake general day-to-day administrative duties including filing and archiving.

Contribute to arrangements for and participate in Open days and any other events as required and/or appropriate.


PERSON SPECIFICATION

* GCSE's grade C or above in Mathematics and English, or equivalent and/or substantial demonstrable relevant experience for the role.
* Administrative experience gained in an office environment.
* Demonstrable work processing experience.
* Minuting meetings and servicing committees.
* Experience of diary management.
* Experience of providing administrative support to a team.
* Significant experience of using Microsoft Office and a variety of software packages and computerised management information systems.
* Experience of dealing directly with external clients and customers.
