£10.27 an hour
Coventry City Centre
6 months

An experienced Administrator is required on a six month temporary contract to support a busy team within a large organisation based in Coventry city centre.

Main duties and responsibilities

1Assists in ensuring the smooth operation of department

2Takes responsibility for the day to day operation of a number of allocated functions, examples of which are provided in the list below, working independently and pro-actively to ensure excellent service standards:

-Provides administrative to stakeholders
-Acts as liaison with partner institutions;
-Manages and responds to enquiries via the designated central email mailbox;
-Acts as liaison for validated programme arrangements;
-Coordinates and carries out matching and merging of applicant records;
-Acts as secretary to meetings as required;

3Ensures that full, accurate and accessible records are kept in relation to all administration, liaising with other areas as necessary.

4Assists in the smooth delivery of the enrolment of applicants onto programmes, including working with colleagues within the organisation and with partner organisations to ensure that records are accurate.


5Assists in the development, testing and maintenance and improvement of relevant administrative processes within the department, liaising and other stakeholders as necessary.

6Assists in the production of guidance notes and in the delivery of presentations, briefings, training sessions and workshops as required.

7Becomes an expert on specific procedures and regulations, briefing other staff as required. Advises the senior management on any failure to comply with procedures or regulations.

8Assists with the preparation and submission of documents, reports and/or returns to external agencies and government departments, as required

9Takes responsibility for resolving enquiries in a professional and timely manner and dealing with cross-functional enquiries in accordance with the Regulations.


10 Assists with the preparation of a variety of documents, including correspondence, memoranda, reports and other administrative papers, arrangement for printing, photocopying and collation of documents and general clerical duties
Acts as Secretary to departmental committees and working groups

AND such other duties as are within the scope and spirit of the job purpose, the title of the post and its grading.

You must have a proven track record working in a similar role in a customer focused environment.
Excellent organisational and communication skills. Highly proficient in all Microsoft packages.
A pro-active hands on approach to working in a busy team with the ability to work alone when required
