An experienced Senior Clerical Assistant is required to support a busy department within Coventry University during their busiest period until the end of January 2018.

Working closely with the administration team you will support key department stakeholders to ensure the smooth operation of the service.

Main Duties and Responsibilities
*The role will involve interaction with both staff and students, responding to queries and providing a professional service.
*Assists academic and professional staff in ensuring the efficient operation of administrative processes and procedures. Provides support to academic staff as directed from time-to-time.
*Assists academic and professional staff with the maintenance of course documentation, student handbooks and module descriptors to meet University deadlines.
*Responsible for investigating and resolving staff and student queries across a wide range of procedures, for example, coursework extensions, deferral applications and assessment results.
*Assists with preparations for student induction, enrolment and award ceremonies.
*Drafts routine documentation and correspondence, and non-routine correspondence with guidance.
*Suggests ideas for improving working methods and processes. Assists with the maintenance of course schedules and other course based activities. Keeps senior staff informed of developments when necessary.
*Undertakes a wide variety of data inputting, updating and data extraction from University databases for Course Directors and Course Administrators ensuring that the data is up-to-date and accurate.
*Undertakes clerical tasks and word-processing to support committee, course-planning or specialist area activities using knowledge, experience and contacts within the Faculty/University to resolve problems.
*Acts as Secretary to formal or informal meetings, including Subject Assessment Boards.
*Becomes expert in basic procedures to advise staff and students.
*Undertakes routine clerical tasks including booking rooms and refreshments, arranging meetings, carrying out filing and archiving, photocopying and the collation and distribution of documentation.
*Deputises for Course Administrators as required.
*Contributes to and participates in any staff development and training activities within the Faculty and/or University, including credit bearing courses, as required.
*AND such other duties as are within the scope and spirit of the job purposes, the title of the post and its grading.

Experience Required

*Educated to A-level (grade A-C) or equivalent; and including GCSE Maths and English at grade C or above or equivalent.
*European Computer Driving License (ECDL) would be advantageous
*Demonstrable relevant clerical experience.
*Experience of using Microsoft Office and a variety of software packages and computerised management information systems.
*Recent relevant work experience in (e.g.) an office or customer care environment.
*Experience of working in an educational or regulatory environment.
*Evidence of holding a position of responsibility whilst undertaking study
*Familiar with using spreadsheets, email and the internet.
*Ability to communicate clearly and effectively both in writing and verbally
*An appreciation of other cultures; the global reach of the University and its international agenda.
*Working knowledge of a range of computerised software such as MS Sharepoint.
*Familiarity with modern communication systems such as Twitter, Facebook etc.
*Previous customer care experience
*Evidence of team working skills
*An ability to self-motivate in order to achieve objectives and deadlines.
*Strong intellectual ability and capability of applying this to practical problems. Ability to critically analyse and apply this to practical problems
*A proactive and organised approach to completing tasks.
*Ability to relate to individuals from a variety of diverse backgrounds, cultures, ages and experience with courtesy and professionalism, establishing and maintaining co-operative working relationships
*A flexible approach to undertaking a variety of duties.
*A flexible approach to working hours and location, including a willingness to travel, locally, nationally or overseas, as required
