£12.84 per hour
Hours of Work 08.30 - 17.00 Monday to Friday with flexibility to do overtime if required
Coventry City Centre Location
Initially 4 months assignment


Purpose

To provide professional administrative support services supporting the operational
administration, research and income generation activities of the Faculty in the delivery of
associated and appropriate activities in pursuit of the Faculty's and University's business
objectives.

Main Duties and Responsibilities

1.Deal with enquiries within allocated work area in person, by telephone or email, for both internal/external clients and/or students, sign-posting to Faculty staff, other team members or other suitable internal areas or external organisations when necessary.

2.Provide administrative support as appropriate/required in operational financial administration including monitoring of income and expenditure, administration of procurement and billing activities and budget tracking needed to maintain effective contract and purchasing control, and reporting requirements.

3.Book and administer arrangements for business related travel both in the UK and overseas.

4.Devise, implement and maintain agreed administrative processes and systems required to ensure effective day-to-day delivery of work area/programme objectives.

5.Undertake background desk research and prepare reports, data and other management information as required.

6.Develop marketing material, including prezzi and PowerPoint presentations, brochures, flyers, web-material etc., working closely with the Faculty Marketing and Recruitment Team as required/appropriate.

7.Represent the allocated work area by providing support as required/appropriate for work with external companies, including support at meetings and visits (internal and external), production and provision of documentation and materials and providing the required follow-up reports and actions.

8.Administer and contribute to the organisation of events, conferences, seminars, staff away days and formal meetings relating to identified activities (e.g. servicing of Committees and meetings, Minute taking, generating documentation, providing a meet and greet service and arranging hospitality).

9.Manage the diaries and associated arrangements for members of the allocated work area as required and appropriate.

10.Manage shared and group email boxes for the allocated work area as required and appropriate.

11.Word process various documents, including presentations, papers and reports. Undertake general day-to-day administrative duties including filing and archiving.

12.Provide other general administrative support as required and appropriate within the allocated area and Faculty.

13.Contribute to arrangements for and participate in Faculty Open days and any other Faculty events as required and/or appropriate.

14.Participate in any staff development and training activities within the Faculty and/or University as deemed appropriate


Good general education with demonstrable qualifications in Mathematics and English.

RSA Stage II Typing/Word processing or equivalent and/or substantial demonstrable word processing experience.

Experience

Sound administrative experience gained in an office environment.

Minuting meetings and servicing committees.

Experience of diary management.

Experience of providing administrative support to a team.

Significant experience of using Microsoft Office and a variety of software packages and computerised management information systems.

Substantial demonstrable experience of and competence in using MS Excel.

Experience of dealing directly with external clients and customers.

Experience of producing promotional materials.

Awareness of social media and experience of using email.

Awareness of and operating to financial systems and procedures.

Ability to work on own initiative whilst contributing as a member of a team

Ability to work under pressure and able to prioritise work to meet deadlines.

Excellent organisational skills.

Must be able to demonstrate initiative and diplomacy with a variety of clients.

Ability to source and present information.

Interpersonal Skills

Excellent customer care, written and oral communication skills.

Methodical and personally well organised.

Ability to relate to people at all levels with courtesy and professionalism.

Other Requirements
Flexible attitude towards hours of work and location when required to meet the business needs of the Faculty. This may include some evening and/or weekend work.

Willing to travel.
