Job Title Senior Administrator - Permanent

Reports To UK Office Manager

Location UK Office - Coventry




Job Purpose / Summary of Role
To provide a wide range of administrative functions in an office whose primary business is the sale and distribution of our product across the UK and Europe. The individual must have a working knowledge of the order entry process and ideally have import / export experience. The position holder will also assist with supervision of the CSR team (4) working directly with the OM. Proven experience in a supervisory or commercial team management role is essential.


Principal Accountabilities
*Ability to operate within a sales order entry system (SAP)
*Be able to prepare data related to customer orders and returns
*Manage the Customer Credit Control function including customer receivables and sales ledger management.
*Customer File maintenance and managing customer correspondence
*Liaise with the Sales Managers on all matters relating to the customer orders
*Monitor shipments and provide delivery information to the customer
*Manage and direct the CSR team in the process of customer queries, complaints, inquiries and returns
*Manage the function of imports and exports of product by liaising with partner companies
*Prepare export documentation and have broad knowledge of export control
*Maintain the office systems integrity and in an orderly manner
*Take direction and instruction from the Management team
*Create, maintain and manage company spreadsheets and produce reports when required
*Create Supplier Purchase orders
*Process and manage sensitive information with discretion at all times



4.Special features
*Supervise and manage the day to day work load of the CSR team, comprising of the Part Time CSR Administrator, Accounts Assistant CSR, CSR Administrator and any new roles that the company may introduce. Operate and oversee the entire Sales Order Process of the CSR team to ensure orders are correctly scheduled, processed and invoiced in a timely manner. Delegate specific duties for the OM in her absence. This role may be assigned any other relevant related duties as required by Management.
*Work in accordance with ISO / JSox and HMCE requirements and standards to ensure compliance at all times.
*Key interfaces for this role include Customers, Suppliers, Sales Professionals, Supply Chain and Finance Departments. The job holder needs self-discipline, an ability to prioritise work load whilst maintaining good relationships with these key areas that may have competing needs.
*This role plays a vital part in MREG's Customer Relationship Management. Above all the job holder must be highly professional with a proved track record including exceptional customer service skills, excellent telephone manner and have a service orientated style.

5.Skills and Knowledge
*The job holder will rely heavily on IT systems for effective operation and must be fully competent in the use of a variety of systems including Excel, Word, PowerPoint, SAP and Email.
*The job holder will source a portfolio of products. He / she will be expected to gain an appreciation for the technical aspects of the products and an understanding of the product and service offered by MREG.
*To perform at a proficient level the person would be expected to hold minimum of 5 GCSE or equivalent to include Math and English at Grade C or above.
*A minimum of 4+ years' experience in a commercial office environment with a proven track record in the supervision and development of a commercial / administrative team.
*The role demands a high level of interaction and so excellent communication skills are vital, as is the ability to remain professional at all times.
*Attention to detail, accuracy and numeracy are also key requirements of this role which can at times be demanding and pressured.
