Coventry City centre
Temporary - 6 weeks
£10.27 an hour - Full time 36.5 hours

An experienced Administrator is required for a 6 week temporary assignment with Coventry University's Registry team. Based on campus in Coventry city centre this role is to support the team during their busiest period

Main Duties and Responsibilities

1.Become an expert on specific University procedures and regulations, briefing other staff as required. Advise the Assistant Faculty Registrar, Registry Course Officer or Faculty Registrar, on any failure to comply with University procedures or regulations

2.Deal accurately and efficiently with enquiries from staff, students and external organisations, and liaises regularly with other University and Faculty staff over matters concerning student and course support.

3.Provide administrative support for the development of, and changes to, courses and modules, from inception through the approval process, ensuring that the Faculty Registrar is kept informed of such developments.

4.Carry out accurate and secure maintenance and operation of manual and computerised student record systems, including undertaking data inputting. Supports the development and implementation of new systems, including the application of computer software to enhance administrative processes, and ensure accuracy and integrity of data.

5.Assist with the management of the examination and coursework moderation process. Ensuring that assessments are produced securely and completed in accordance with the Registry timetable and at a level of quality that meets University standards and external and internal moderation requirements.

6.Support the designated area by assisting in preparations for quality and other audits generating reports from University databases, as required by senior management.

7.Liaises effectively with other departments within the University, including Academic Registry, Finance, International Office etc.

8.In liaison with academic staff, ensures that all course and module documentation, assessment documentation, and module descriptors are maintained accurately and updated.

9.Assist in other areas of the Faculty at enrolment, induction, award ceremonies, as required by the Group Registrar & Secretary, the Faculty Registrar or Registry Course Officer.

10.Maintains appropriate secure archiving, filing and record systems in accordance with the University retention policy.
11.Supports Registry related projects within the Faculty, as assigned by Faculty Registrar or Registry Course Officer, liaising with academic and administrative colleagues.

PERSON SPECIFICATION

You will have several year experience working within a similar role in a professional and regulated environment. Excellent communication skills with exceptional attention to detail are essential for this role.
You will also have:
*Knowledge and experience of working with Microsoft computer software packages and using email and the internet in a professional capacity
*Demonstrable, relevant experience of administrative practises
*Previous experience and proven ability to organise and minute meetings
*Practical experience of working in a busy office environment
*Ability to demonstrate experience of working to strict guidelines or a regulatory/legislative framework
*Ability to prioritise and manage own workload, work to operating plans, meet deadlines and monitor outcomes
*Proactive attitude.
*Ability to communicate effectively, orally and in written form at all levels
*Ability to disseminate and collect information effectively, using a variety of media
*Ability to respond to requests for information in a positive and friendly way, ensuring that it is accurate and up-to-date
*An understanding of the requirements of providing outstanding levels of customer care
*Must be able to work on own initiative whilst contributing as a member of a team
