Post Title: RECEPTIONIST/CLERICAL OFFICER
Mode: Part-time - 18.5 hours per week

2. JOB DESCRIPTION

Purpose
To contribute towards the efficient operation of the Organisation on a day-to-day basis; to provide clerical support and to be the first point of contact.
Main Duties and Responsibilities
1. To staff the reception desk, dealing with enquiries, including by telephone and email. To offer advice and support as appropriate.
2. To provide clerical support, including constructing emails and writing letters, filing, faxing, photocopying, preparation of resources, and data input.
3. To advise students when signing in and out of the on-line and electronic appointment, workshop and record-keeping system . To input data regularly in order to maintain the electronic system. To have a working knowledge of this software.
4. To book, cancel, and re-book appointments.
5. To assist the Administrative Assistant with room preparation, including setting up for teaching and workshops.
6. To maintain the general presentation of the office and ensure that tutoring stations and mobile tutoring packs are fully stocked with resources.
7. To provide cover for basic duties in the absence of the Administrative Assistant and Centre Co-ordinator and to work full-time if necessary to cover the annual leave of other members of staff within the administrative team.
8. To publicise and market the organisations activities (which may fall outside of your normal work schedule).

3. PERSON SPECIFICATION
ATTRIBUTES ESSENTIAL/ADVANTAGEOUS
Education/Qualifications
GCSE or equivalent including Mathematics and English
RSA stage II or equivalent in typing and/or word-processing
Experience
Proven IT skills, to include use of computerised information systems, word-processing, databases, spreadsheets and email IBT2 or ECDL
Experience of working in an educational environment
Experience of reception work and of clerical work
Experience of working in online environments
Job-related skills/Aptitudes
Excellent telephone manner and Customer Care skills
Excellent, proven writing and communication skills
Ability to work to guidelines to achieve objectives
Ability to work on own initiative whilst contributing as a member of a team
Excellent organisational ability with effective attention to detail
Excellent computer literacy skills including Microsoft Word, data entry, and database/ spreadsheet skills
