Coventry city centre
£16/£17 per hour
36.5 hours per week.
6 months contract.

This post offers an excellent opportunity for an individual with experience and knowledge of working in a higher education or a customer service environment and an aptitude for logically structuring and achieving the department's targets, yet always keeping customers and staff at the heart of the operation. The post holder will ensure operational activities run smoothly and efficiently and promote professionalism by maintaining good supplier relations.

Main Duties and Responsibilities

Your main duties will include operational development and planning together with the Head of Operations and Finance. Responsible for operational management, finance, health and safety and HR compliance, Facilities and asset management. You will also be responsible for the line management of the Operations Administrators and Operations Analyst as well as oversee and link into the activities of the wider administrative and technical support teams, such as Customer service desk, IT and accounting function. You will link into the Groups professional services, particularly Estates and Health and Safety and drive change as established by the organisation's needs. You will manage, and ensure, the provision of an effective infrastructure and professional operational service.

Duties will include the following:
1.Facilitate and support operational resource management and implement workforce plans throughout the management team.
2.Deliver and support effective and detailed project planning and control throughout of any developments.
3.Managing day-today operational aspects in liaison with the Senior Management Team.
4.Building and maintaining strong relationships with key internal stakeholders and external suppliers to ensure the operational delivery meets business needs.
5.Generating a culture of success and collective sense of ownership of operational tasks.
6.Developing comprehensive communication plans and managing operational communication, maintaining daily conference with all key team members to communicate status reports, senior management requests, change processes and manage and address issues.
7.Understanding and creating basic revenue models and Profit and loss analyses in cooperation with the management accountant; meets financial objectives by forecasting requirements; supporting the Head of Operations and Finance in preparing an annual budget; scheduling expenditures; analysing variances and initiating corrective actions.
8.Create standard operating procedures and guidance manuals for operational areas of responsibility and establish means of controlling and auditing effectively operational processes are being followed.
9.Establish and contribute to and participate in any staff development and training activities.
10.Support operational asset management and advise the Head of Operations on required procurement.
11.Building and maintaining strong relationships with key internal stakeholders and external suppliers to ensure the operational delivery meets business needs.
12.Generating a culture of success and collective sense of ownership of operational tasks.
13.Supporting the Head of Operations and Finance in preparing an annual budget on operational aspects of the work; project planning and budgeting, procurement of teaching and staff related inventory and assets, analysing variances in liaison with the Deputy of Business Projects to ensure effective project cost control.
14.Put in place and maintain up-to-date H&S procedures, forums and be the first point of contact for any H&S related issues or queries.
15.Implement and maintain stringent recruitment process in liaison with subsidiaries HR team to ensure a compliant recruitment process is followed.
16.Effective line management of facilities related staff

PERSON SPECIFICATION

Relevant administrative and technical experience.
*Degree in Business Administration/Economics/Finance/Operations Management/HR
*Professional qualification such as CMI, CIMA, CIPD certification

Proven demonstrable experience of:
*Operational/ business management in a commercial/customer service / educational establishment
*Line management of staff
*Data analysis/database background
*Project management skills
*Advanced Access/Excel skills (database and charting)
*Ability to manage complex activities simultaneously
*Ability to analyse and provide management information for financial decision making
*Financial management
*Excellent written and verbal communication skills, using different approaches driving change within and external to the Business
*People management skills

proficient use of MS office package
