Temporary to Christmas with potential to extend - Immediate Start
To coordinate and manage the day to day operations of the Marketing & External Affairs office, supporting the Senior Management Team to help drive forward the department's strategic objectives.

Responsible for a diverse set of administrative tasks, performing duties with decisiveness and accuracy for the business to perform well and ensuring that work is managed effectively and projects/solutions are delivered on-time and to a high standard.

Responsible for effective filing, information management and database systems within Marketing & External Affairs, monitoring progress of follow-up actions and maintaining the smooth running and professional environment within the Group Marketing Services team.

Provides project and general administrative support, ensuring professional effectiveness, quality assurance and compliance.

Main Duties and Responsibilities

1.Ensure the smooth running of the Marketing & External Affairs office by planning and organising individual and team activity.

Support the Executive Assistant in administration tasks and diary management

2.Lead on the creation and maintenance of the Marketing & External Affairs staff handbook

3.Provide broad administrative support to wider management team meetings.


5.Supporting the creation of strategic priorities by supporting staff development days and senior management team meetings.

6.Ensures that a front line administration service is delivered internally and externally, ensuring that all related queries are managed efficiently providing high levels of customer service.

7.Working in collaboration with stakeholders within Marketing & External Affairs and across the organisation, building relationships and networks to support service delivery.

8.Support the management of projects within the Marketing & External Affairs, being a key point of contact.

You will also have:
* Extensive relevant experience in Office Management
*Significant experience of all administrative and clerical procedures required to ensure the smooth running and efficient running of an office.
*Proven demonstrable experience of liaising and negotiating with a range of internal and external
*Excellent IT skills including Microsoft Outlook, Word, Excel, PowerPoint.
*Experience of using other systems specifically in relation to financial management and HR activities.
*Experience of using multiple IT systems
*Experience of managing budgets and preparing management reports
*Experience of operating in a complex, global environment.
*Experience of writing management reports
*Project management experience.
*Ability to work independently and to demonstrate initiative.
*Excellent written and oral communications skills.
*Excellent organisational and time management skills.
*Ability to work flexibly to meet the needs of the service provided.
*Excellent customer service skills.
*Ability to manage complex activities simultaneously.
