Job TitleGeneral Administrator
Reports toBusiness Administration Manager

Main Purpose of Job:

To assist in the Administration in all areas of the company. To ensure all processes for the administration of the scheduling/technical aspects of the company are adhered to.


Main responsibilities
ØWork with the production team to ensure scheduled customer components delivery dates are adhered to and achieve agreed targets for adherence and lead times in line with customer requirements.
ØContinuously update and cleanse the system of inaccurate data and assumptions within the Factory Master system.
ØCollate information and update KPI's.
ØTo ensure all resources within the Factory Master system are accurate.
ØProcess the administration of all customers purchase orders / enquiries to produce an internal quotation forwarding to the Technical Sales Manager for approval when required.
ØEnsure all confirmed customer orders receive a order acknowledgement when required.
ØEnsure all customer orders are inserted into the Factory Master system when required.
ØPrint drawing in all formats when required.
ØPrint and issue to correct location any route cards that are needed using the Factory Master system.
ØPrint and issue to correct location any external delivery notes that are needed using the Factory Master system.
ØCreate and issue any Microsoft Word or Microsoft Excel document that may be needed.
ØWork with the Quality Manager/Health and Safety manager to create, issue, process and file certificates and quality packs as required.
ØTo create any IRN (internal reject note), SRN (supplier reject note) or CRN (customer reject note) that is needed by the Quality Manager.
ØAssist with filing
ØAssist with answering the telephones efficiently when necessary.
ØAssist with note taking at HR meetings as and when required.



General responsibilities
ØWork with other employees to ensure quality and standards are maintained at all times
ØAdhere to company quality procedures as per company quality manual ISO9001:2008.
ØEnsure your working area is kept neat and tidy at all times and general housekeeping maintained to assist with health and safety procedures
ØMaintain a high standard of customer service at all times.
ØDeal with telephone enquires promptly, efficiently, maintaining courtesy at all times.

Additional duties:
ØTo undertake any other reasonable management request
ØTo attend department meetings or staff general meetings
ØWork flexibly where possible to support the department and across the business when needed
ØForward suggestions for discussion to improve processes or procedures to your line manager
ØEnsure waste is kept to a minimum to benefit both the company and the environment

Legal Duties:
ØAttend any Health and Safety training when required
ØEnsure full compliance with all areas of Health and Safety as per company Health and Safety policy
