As Clerical Assistant you will contribute towards the efficient operation of a key department within Coventry University on a day-to-day basis. Providing administration support to the team you will also be the first point of contact for students, University staff and visitors to the departments.
Working closely with the administration team your main duties and responsibilities will be:
*To cover the main reception desk, dealing with enquiries from staff, students and prospective students, visitors, and the general public, face to face and by telephone and email ensuring that a high level of customer care is exhibited at all times.
*To contribute to the development and delivery of on campus events by regular monitoring and evaluation of online systems and visitor feedback, providing on-going recommendations to Officers.
*To contribute towards the recruitment and deployment of Student Ambassadors UK University wide recruitment activity.
*To assist the department Co-coordinators and Officers with event set up which includes ad hoc campus events, liaising with departments and external providers e.g. in preparation for University wide open days/events.
*To actively ensure that all mailing allocated is completed accurately and to deadline within the department's mailing calendar and responsible for all mail leaving the department to be collected by the internal post room service on a daily basis.
*To support the departments admissions function using the online paperless processing system as well as providing clerical support to the department.
*To maintain the overall general presentation of the office with colleagues and to ensure that at all times the storage room is fit for purpose, maintained and stock control procedures are in place.
*To ensure that the reception area for visitors is fully stocked with up to date resources providing a clean and welcoming venue for visitors
*To provide cover for routine duties in the absence of the Senior Clerical Assistant
*To provide a front line service to visitors at recruitment activities such as summer school the University Open Days and on campus events as required
*Implement a range of good office practice procedures in support of the work of the Office, making full use of computer packages and systems, including Word 2000, EXCEL and database management systems provided by external suppliers.
*AND such other duties as are within the scope and spirit of the job purpose, the title of the post and its grading.
*Educated to GCSE or equivalent including Mathematics and English/ Educated to NVQ Level 2.
*Proven IT skills, to include use of computerised information systems, word-processing, databases, spreadsheets and email.
*Experience of maintaining data electronically and manually
*Experience within higher education or college of further education.
*Experience of reception work and of clerical work.
*Excellent telephone manner and Customer Care skills.
*Excellent written and oral communication skills.
*Ability to work to guidelines to achieve objectives to agreed deadlines.
*Ability to work on own initiative whilst contributing as a member of a team.
*Excellent organisational ability with effective attention to detail.
*Customer Care qualification or experience
*Ability to interact, communicate with staff, and students, and the general public at all levels.
*Personally well organised.
*Friendly and supportive attitude.
*Ability to work effectively under pressure and to deadlines.
*Ability to work in a flexible manner to meet the needs of the Office.
*Must be able to work with a high degree of discretion and ability to observe confidentiality of information and records.
*Willingness and ability to work outside normal hours (including Saturday), for which overtime payment will be given.
