Duties and Responsibilities.

Day to day operation of the access card system for the premises, addressing and acting accordingly with client and colleague requests in a timely manner.
Assist in the day to day operation of office, processing applications once approved. Providing administration support including setting up files, sending out materials and notifying colleagues of any changes.
Provide admin support to the car park operating system, generating reports, monitor barrier usage and issuing car park exit tickets.
Assist in the divisional recharges process, inputting charges accordingly within the required deadline period.
Assist in the social media activity for the division, promoting events, publishing announcements whilst maintaining the integrity of the premises.
Compile weekly Fire Officer duty Schedule to ensure appropriate cover each working day. Provide support in the event of a fire alarm activation across the premises.
Undertake regular audit checks of facilities to ensure safety and cleanliness.
Responsible for opening and distributing incoming post, answering the telephone, taking messages and ensuring they are forwarded to the appropriate person.
Also support the contact lists and door signage across site as required.

It is essential to have a high level of IT literacy with excellent understanding of working with Microsoft Office applications including internet and email diary management.Extensive administrative experience with a commercial client based environment.
The candidate must have the ability to organise own work load and prioritise work effectively. Ability to work on own and within a team, to remain calm under pressure and have an excellent telephone manner. You would need to be self motivated and have a high standard of customer care. You must be confident in meeting and speaking to people.
The ideal candidate will be friendly, enthusiastic and assertive yet maintain a professional manner.
