Coventry City Centre
£10.00 an hour/ 37.5 hours a week

As Unit Administrator, you will provide excellent administrative and secretarial support to ensure the smooth running of the department. A primary focus of the role will be to support the senior management of the department.

You will possess excellent organisational and communication skills, a positive attitude and be able to work with minimal supervision. You should have significant and relevant clerical and administrative experience and demonstrable IT skills.

*To provide administrative and secretarial support to the directorate
*Undertake complex diary management for the directorate (scheduling of meetings, planning ahead to make best use of available time, reserving preparation time to enable deadlines to be met).
*Liaise with the Senior Management and the Assistant Heads of Departments ensure coordination of diaries
*Monitor requests and organise travel arrangements and accommodation for all staff in line with the Company's policy.
*Provide administrative support for meetings within the department and report action points, notes or full minutes as required.
*To provide administrative and clerical support for the Unit
*Develop efficient office procedures and location of office information
*Order stationary, computer and lab consumables; ensuring adequate stocks for the Unit's needs
*Raise and process requisitions, staff expense claims, invoices, credit notes and other financial processes, and to ensure that these are allocated under the appropriate budget headings and that financial regulations are followed.
*Support Unit staff, including making arrangements to support recruitment and induction of new staff as well as responding to ad hoc requests
*Update key office information e.g. phone lists, filing systems, expenses files, useful numbers.
*Organise team meetings and planning days and take actions.
*To be the initial point of contact for the Unit
*Answer general enquiries and information requests relating to the Unit and escalate more complex enquiries to relevant Unit staff.
*Manage the Unit email inbox and answer telephone enquiries.
*Meet and greet visitors
*Manage room bookings and report on space usage.
*To provide ad hoc project and event support

Support ad hoc event organisation e.g. booking refreshments/venues for events and registering attendees.

Support the administration of events e.g. collating event packs, registering attendance, liaising with key speakers and developing promotional materials.

AND such other duties as are within the scope of the spirit of the job purpose, the title of the post and its grading.
