Coventry University
£10.43 an hour - 37.5 hours
2 Month Temporary contract

As Registry Administrator you will part as part of a very strong administration team dedicated to Tier 4 compliance. This will involve face to face contact with students on a daily basis to support and advice on a wide range of compliance related issues. You will also provide a wide range of support to 4 Senior Registry Officers in four key areas of compliance.

Main Duties and Responsibilities

*On a rota basis, you will staff the Tier 4 compliance front office in the Student Centre, dealing face to face with students, providing information and advice on a wide range of visa compliance issues, including attendance requirements, visa applications, requests for absence etc.
*Staff the Tier 4 compliance desks at key events eg enrolment/ midyear document checking; this includes accurately scanning and checking all academic/ passport/ visa documentation; speaking individually to all new students about their Tier 4 responsibilities; recording details of students who are missing the documentation required to enrol; escalating any visa or other issues to an SRO/ Assistant Registrar.
*Post enrolment document check: to quality check all scanned student files and index on Filestream in line with correct naming conventions.
*Support the Assistant Registrar in the management of Tier 4 late enrolment requests; this involves significant liaison with International office and faculty colleagues to ensure full information is available to inform the DMG late enrolment decision.
*Lead on monitoring of students engaged in fortnightly supervisor meetings and with no taught classes. To include: logging contact on central faculty spreadsheet; scanning forms to filestream; preparing a fortnightly performance summary for each faculty.
*To make accurate and timely reports under guidance to inform the UKV&I of non-enrollers, changes in circumstances, change of study location and withdrawal of Tier 4 sponsorship etc., as required by the Tier 4 policy guidance.
*To support on visa extension monitoring: extracting monthly reports, issuing alerts to students 1 month and 3 months before visa expiry, arranging monthly update meetings with students who have applied for a visa extension.
*To monitor the Tier 4 compliance team inboxes, answering straightforward queries and escalating where appropriate due to complexity of query.
*At all times to ensure information recorded on the systems is accurate.
*To collate/ quality check student records in preparation for internal and Home Office auditors.
*Conduct after every enrolment a quality check of UK contact information on student records.
* And such other duties as are within the scope and spirit of the job purpose, the title of the post and its grading.

PERSON SPECIFICATION

*A levels or equivalent
*Min grade A* - C GCSE Maths and English
*Experience of administrative and office systems and procedures.
*Good working knowledge of IT systems, eg Microsoft Windows; Word, Excel and Access.
*Experience of working in a busy customer focused environment.
*Knowledge of Tier 4 and Sponsor Licence obligations imposed by UKVI.
*Knowledge of Coventry University's academic regulations
*Experience of working in an international education environment.
*Awareness of data protection legislation.
*Experience of working within a legislative and/or policy framework.
*Excellent organisational skills and attention to detail.
*Accuracy and efficiency of work - meeting multiple demands and (re) prioritising workloads appropriately.
*Ability to liaise closely with staff in other divisions and progress chase as required
